Minutes of Quail Creek Veterans Golf Association

Board Meeting –31 March 2022

President Rene Gill called the meeting to order at 9:01 a.m.

Board Members present. President Rene Gill, Vice President Tom Contreras, Secretary John McGee, Treasurer Jim Struthers, Tournament Chairman Dan Salazar, Tournament Committee member Jim Lynch. 

Rene opened the meeting and said the primary topic was preparation for the Battle of the Branches tournament on 8 April. 

Battle of Branches Tournament.

Jim S. said he has received 70 registrations but is expecting more. There are 22 Army, 12 Navy, 11 USAF and 4 USMC; no Coast Guard. 24 VGA members have registered so far. Four females have registered, none is a QCVGA member. Only QCVGA members in good standing with an active GHIN are eligible for the Championship title and to compete in the Battle of the Branches. Jim L. said he will be using Golf Genius Premium and with that software he can enter new registrations through the AGA the day before the event. The software will also do the flights. All participants with an active GHIN will be in the Flights competition.

Jim L said we will use digital scoring, but each foursome will have a printed score card. Player keeping score must download Golf Genius Premium. Rangers will be able to help with the software. The digital and hard copy scores must match. Tournament rules will be on the back of the card and on a sheet for each player. Still need to arrange the display of all the scores after the tournament. Will display them digitally if a large screen is available. Not allowed to tape a score poster on a wall in the Clubhouse. Dan will work out the display with Josh, the new Pro.

Will post Alpha list, Hole Assignments and Battle of the Branches scoring sheet in the Pro Shop. Will also have they posted on the QCVGA website. Players will check-in from 0645 – 0745 inside the Madera Clubhouse; volunteers must arrive by 0630. Spouses have volunteered for the sign-in and raffle. There will be an opening ceremony with the pledge and national anthem. 

Rene will get together with Epi on the number of tables and chairs for sign-in and 50/50 ticket sales. He will let her know total number of people on Monday, the 4th.

Dan will prepare the group packages and lunch wrist bands. He will write “Burger” or “Brat” on each band. He asked whether to have just 1 or 3 50/50 winners. Dan also will place Veterans’ signs on first hole. There will be no other signs. 

To win the golf cart for a hole-in-one on Quail 2, must use the silver tee. Jack Mobart volunteered to monitor the hole and might have someone to monitor the tee box. Q2 will also be used for closest to pin. Will use ­­­­­­­­­RR9 for longest putt.

Other Business.

Dan announced upcoming outside tournaments:  Desert Hills on June 13th and Canoa Ranch on August 17th, each for $35.00.

Board Meeting –10 February 2022

President Rene Gill called the meeting to order at 9:00 a.m.

Board Members present. President Rene Gill, Vice Handicap Chairman Roger Oravetz, Tournament Committee member Jim Lynch and Secretary John McGee. 

Financial Report. Treasurer Jim Struthers was unable to attend but had informed Rene there was little change to the report he submitted at the Membership meeting on January 17th. The report was approved. 

Review of the Jan 17, 2021, QCVGA General Membership Board Meeting:  Announced date change for Battle of the Branches/Club Championship to April 8, 2022, and Veterans Day Charity Fund Tournament November 11, 2022, both at Quail Creek. Those present unanimously voted for Rene Gill to continue to serve as President. John McGee was appointed to serve as Secretary. Jim Lynch volunteered to serve as a member of the Tournament Committee. Discussed continued board vacancies and a request from the Desert Duffers for a 9-hole challenge event with the QCVGA; referred this to Dan Salazar for follow up with the Duffers.

Old Business: 

Battle of the Branches and Club Championship:  Scheduled date change due to Banquet availability. Green Fee for Annual QC Members will be $25.00 and non-Annuals $30.00. A $5.00 charge will be added to cover flighted tournament payouts. With lunch the total cost will be $50.00 and $55.00, respectfully. Additional lunches may be purchased for $20,00.

Rene met with Epi to update the menu and negotiated a $20.00 price (meal $15.61, Service fee $3.12, Tax $1.27). The updated lunch menu is Brat or ½ lb. Burger (no cheese) with house chips, coleslaw, cookie, and ice tee. Epi will see if cheese for the burgers can be added at no additional cost.

Rene asked Jim Lynch to get together with Dan Salazar, if he is soon available, to review and update the description of last year’s tournament format. Rene needs this to begin publicizing the event. In addition to preparing the tournament announcement, Rene will also update last year’s entry form. There will be a need to have additional planning meetings since the April Board meeting is not until April 14.

QCVGA Board Positions:  Rene will prepare a letter for all members explaining the impact of the vacant positions and asking for volunteers to fill them.

Overview of plans for 2022:  

Golf Fees:  Rene will meet with the new Director of Golf, Josh Wilks, to discuss no golf fees for QCVGA annuals and use of play cards by our members at our tournaments and allowing us more group play here. QCVGA may be unique as Rene has not found veterans golf associations at other Robson resorts. 

Outside Play:  Roger Oravetz will work with Dan Salazar to schedule outings at other golf courses, ideally when QC is closed for overseeding. Roger said contracts with outside courses often require a minimum number of golfers. We could avoid that by booking consecutive tee times for foursomes. Dan Salazar is also getting off site golfing events.

Social Activities:  Rene is looking for a representative from each service to organize a celebration of their service’s founding. Still exploring other ideas such as bocce ball and an SOS breakfast.
